A prestigious law firm is seeking an experienced Legal Secretary to provide high-level administrative and legal support across multiple practice groups. As a Floater Legal Secretary, you will step in to support attorneys and legal teams during vacations, leaves of absence, workload spikes, and special projects while maintaining exceptional client service and administrative support.
Primary Responsibilities
- Provide legal secretarial support to attorneys across multiple departments.
- Prepare, revise, and proofread legal documents, correspondence, pleadings, agreements, and presentations.
- Manage complex attorney calendars, meetings, deadlines, and travel arrangements.
- Coordinate state and federal court filings.
- Schedule depositions, mediations, arbitrations, and client meetings.
- Prepare and organize trial, hearing, and closing binders.
- Open new matters and maintain electronic and physical client files.
- Process attorney time entries, expenses, and billing requests.
- Handle confidential client information with discretion and professionalism.
- Serve as a backup for assigned legal secretaries during absences and peak workload periods.
- Assist with special projects and departmental initiatives.
Qualifications
- 5+ years of legal secretary experience within a law firm environment.
- Experience supporting litigation, corporate, labor & employment, real estate, or business law attorneys.
- Knowledge of California and federal court filing procedures.
- Strong calendaring and deadline management skills.
- Exceptional organizational and multitasking abilities.
- Advanced proficiency with Microsoft Office Suite, Outlook, Word, Excel, and document management systems.
- Excellent written and verbal communication skills.
- Ability to quickly adapt to different attorney preferences and work styles.
Preferred Qualifications
- Experience supporting multiple practice groups.
- Large law firm or mid-sized law firm experience.
- Trial preparation experience.
- Familiarity with iManage, NetDocuments, Aderant, Elite, or comparable legal software.
